If Controlyse will gain access to your personal information, we will treat this data according to our Privacy policy. In our opinion it is important to handle the personal information of our clients, employees, business partners and the visitors of our website, workshops and training sessions with the utmost of care. That is why we carefully store and protect your personal information in accordance to the requirements of the GDPR (General Data Protection Regulation). 1. The organisation of Controlyse

Controlyse is located in Amsterdam (1066 JS) at the Johan Huizingalaan 400 and is ‘data importer’ as described in the GDPR, responsible for processing of personal information which is mentioned in this Privacy policy.

This Privacy policy is applicable to almost every data importation of Controlyse, which includes the processing which occurs via our website:

2. When do we acquire your personal information?

By personal information we mean all information about an identified or identifiable natural person. Controlyse acquires this specific personal information in the following ways:

  • When you visit our website;
  • When you leave your information on our website;
  • When you leave information at our office;
  • When you subscribe or are subscribed to use our products and services;
  • In the context of a partnership with Controlyse.

3. Why do we acquire your personal information?

We acquire your personal information for the following purposes:

1. In order to offer and/or provide and exchange information about and for our facilitating activities as data importer;

2. To make an estimation about the availability and suitability of:

- Potential candidates
- Seconded employees
- Office employees
- Entrepreneurs

For matching and mediation of labour supply;

3. In the context of agreements with:

- Seconded employees
- Office employees
- Entrepreneurs

For the realisation, execution and termination of secondment- and/or employment contracts;

4. In the context of agreements with:

- Clients

For the realisation, execution and termination of agreements about the hiring of candidates, Seconded employees, office employees and entrepreneurs;

5. For our own staff and payroll administration;

6. In the context of an agreement with:

- Suppliers

For the realisation, execution and termination of agreements with suppliers who recruit, select or commission candidates, Seconded employees, office employees at clients;

7. For the training, education and other forms of career guidance and personal development;

8. To have internal control, organisational security and audit managed;

9. Laws and regulations. For the prevention of fraud, identification, to manage internal control and organisational security, subsidy applications, exemptions of contribution, reduced remittances, and/or contribution reductions and all other relevant laws and rules.

We process your personal information based on one or more of the following four juridical grounds:

  2. To meet a lawful requirement;
  3. Legitimate interest;
  4. Your consent.

4. Which specific personal information do we acquire?

Controlyse processes the following personal information of clients, employees, business partners and the visitors of our website, workshops and training sessions. It is your own responsibility to make sure the data we possess is correct and up to date.

Website visitor

Information of the device you use to visit our website, like an IP-address;

  • Strictly necessary and consensual cookie- and comparable data (see our Cookie policy);
  • Information that has been posted to out website or social media (through social networks, blog reactions, fora etc.);
  • Information that has been left at our website (through a contact form, an application, etc.).

Candidate

  • Name and address particulars, e-mail address, telephone number and other relevant contact information;
  • Date of birth, age, gender;
  • Curriculum vitae (CV), information about educational background and work history;
  • Passport photograph (in case it is part of the CV);
  • Information about training sessions, educational programmes and/or tests which you have conducted via Controlyse;
  • Information about availability;
  • Other data which can be relevant to evaluate the suitability of a candidate, such as feedback and references.

Workshop- or training visitor

If you have attended a workshop or followed a training session organised by Controlyse, it is possible that we will process the following data:

  • Name and address particulars, e-mail address, telephone number and other relevant contact information.

Seconded and office employees

If you work/have worked for Controlyse or one or more of her clients, Controlyse may process the following information:

  • Name and address particulars, e-mail address, telephone number and other relevant contact information;
  • Date of birth, age, gender;
  • Curriculum vitae (CV), information about educational background and work history;
  • Passport photograph (in case it is part of the CV);
  • Information about training sessions, educational programmes and/or tests which you have conducted via Controlyse;
  • Information about availability;
  • Other data which can be relevant to evaluate the suitability of a candidate, such as feedback and references;
  • Nationality, citizen's service number (BSN), identification and work permit;
  • Information needed for staff, payroll and absence administration.

Business partner

Controlyse processes the personal information of those who are employed by (partner) organisations which we are involved with, such as employees of clients, suppliers, etc. For this purpose we may collect the following personal data of business partners:

  • Contact information;
  • Personal information which you provide to us in the context of participation in a workshop, training session, etc.

5. With whom can we exchange your personal information?

Controlyse may exchange your information with our clients, suppliers and contractors who execute projects or provide services on behalf of Controlyse, governmental organisations or other business partners. We will also provide information in situations we are lawfully bound to do so, in the case of a judicial verdict or order.

Third parties with whom we exchange your personal information have to act in compliance to the GDPR. Controlyse is neither responsible nor accountable for the processing of your information by these parties. If such a party processes your personal data Controlyse will sign a DPA (Data Processing Agreement) with this organisation, which meets the requirements as stated in the GDPR.

6. What are your rights?

As interested party you have the following rights:

  • The right of inspection. This means you can request an inspection of your personal information which we have collected;
  • The right of rectification or improvement of your information if this is incorrect or incomplete;
  • The right to have your personal information removed. You must keep in mind however that there can be situations in which we are lawfully bound to keep your information in order to meet the judicial requirements;
  • The right to object or to request a restriction to the processing of your personal information. In case the circumstances allow us to lawfully decline your request;
  • The right to data-portability. This means you have the right to receive your information in a structured or (machine-)readable form. This includes the right to transfer your personal information to another data importer.
  • The right to object to (partly) automated decision-making. At this time Controlyse does not utilise automated decision-making in any form.
  • The right to file a complaint at a supervisor;
  • The right to withdraw given consent. This right cannot be used in retro-action. The withdrawl of consent is only possible for future processing.

If you want to inspect the entire processing of your personal information and/or want to practise one of the rights mentioned above, you can contact our Privacy manager via privacy@controlyse.nl. Within two weeks after we have received your request the Privacy officer will inform you by e-mail of the position of Controlyse involving your requests and the activities we have or shall undertake. In complex cases the processing time can be extended by four weeks. If such an extension is needed Controlyse will inform you during the first two weeks. Controlyse may decline a request if:

  • Your identity cannot be determined with certainty; and/or
  • The request is not specific enough; and/or
  • A ground for rejection is applicable to your request; and/or
  • The request is filed after an unreasonable time following an earlier request or contains a violation of one of these rights. A period of six months or less shall in general be viewed as a unreasonable time.

7. How do we protect your personal information?

Controlyse goes through great lengths to secure your personal information in the best possible way against unlawful use. Controlyse has taken technical and organisational measures to protect your data against unauthorised processing, loss, destruction, corruption, alterations and becoming public. 8. Do we use cookies and comparable technology?

Technical information

Yes. The Controlyse website automatically collects certain information about the (devices of) visitors to our website, for instance the IP-address of your pc, the IP-address of your Internet Service Provider, date and time of access to our website, the internet address of the website which linked you to ours, the operating system which you use, the parts of the website you visit, the webpages which you visited and the information that you viewed, information about the device which you use, your geographical location and the material which you send to or download from our website. This technical information is used to manage our website and to improve the quality and the effectiveness.

9. For how long do we store your personal information?

Controlyse stores your personal information no longer than needed for reaching the purposes named in this Privacy policy and/or to answer to the laws and regulations. Controlyse stores personal information for a maximum of two years after the given consent. If you want to withdraw your consent, you can contact us via privacy@controlyse.nl.

Controlyse may change, complement or alter the Privacy policy at any time for all sorts of reasons. We aim to provide the most recent version of our Privacy policy on our website www.controlyse.nl.
